Who we are
Voodoo Files is the trade file portal run by Voodoo Motorworks Ltd ("we", "us"). We are the data controller for the personal data described here. Questions about your data: message us from the Help & Contact page in the portal.
What we collect
- Account details — your name, company name, email address, phone number and business address, given when you sign up or edit your account.
- Job information — vehicle details (including registration), ECU and tool details, the files you upload, notes and messages you send us, and the tuned files we return.
- Payment records — what you paid, when, and your account balance history. Card payments are taken by Stripe; we never see or store your full card number.
- Basic usage data — when you were last active in the portal, used to show our team who is online.
Why we use it
- To run your trade account and deliver the files you order (performing our contract with you).
- To text or message you about your jobs — for example when a file is ready or a code has been requested.
- To produce invoices and keep accounting records (legal obligation).
- To keep the portal secure and prevent fraud (legitimate interests).
- Occasionally to tell you about offers on file credit. You can ask us to stop at any time.
Who we share it with
Only the service providers that run the portal for us, under contract: Amazon Web Services (secure file and data storage in the UK/EU), Vercel (website hosting), Stripe (card payments), Twilio (SMS) and Pushover (notifications to our own team). We do not sell your data.
How long we keep it
Account and job records are kept while your account is open. Payment and invoice records are kept for six years to meet UK accounting rules. You can ask us to close your account and delete what we don't need to keep by law.
Cookies and storage
We use one essential cookie to keep you signed in. Your browser also remembers a few display preferences (such as Discreet mode and the tool you last used). We do not use advertising or tracking cookies.
Your rights
You can ask to see the personal data we hold about you, have it corrected, have it deleted, or object to how we use it. Message us from the Help & Contact page in the portal. If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
